Official Letters can be of two types. One is the inter office memo type of circular that is targeted to a select group of employees and the other is an official letter to a specific employee.

These letters can be termed as HR Letters/Employment Letters/IOM, etc. They are considered as a very effective form of communication between an employer and an employee. Some of the widely used official letter types are:

  • Inter Office Memo
  • Appointment Letter
  • Confirmation Letter
  • Promotion Letter
  • Appreciation Letter
  • Warning Letter
  • Experience Letter
  • Relieving Letter
  • Address Proof Letter

These letters must be consistent, logical, informative and legally sound. In many cases, these letters must satisfy the goals of avoiding, reducing or resolving liability. In addition, letters from HR like business letters, should always be checked for accuracy, grammar, punctuation and spelling.
