In the Leave Settings group, we have various configuration pages related to Leave Management.

Following is a list of the commonly performed leave operations:

 Restrict Leave during Notice Period

This feature allows you to restrict employees from applying for leave during their notice period. To achieve this option:

  1. Navigate to System Settings > Leave.
  2. Click Leave Rules. Select a Leave Type and click the Edit Policy Info  icon.
  3. In the Grant Settings drop down, select Limits For Availing Leaves.
  4. Select Restrict employees from applying for leave during their notice period option that suits your requirement. Click any of the radio buttons provided.

 Request Option Introduced as a Restriction on Availing Leave

This feature allows you to grant employees leave requests for consecutive periods. For example, an employee can apply for 2 consecutive leave requests from 3rd. to 5th. of a month followed by 6th. to 8th. of the same month.

To avail leave request:

  1. Navigate to System Settings > Leave
  2. Click Leave Rules. Select a Leave Type and click Edit Policy Info icon.
  3. In the Grant Settings drop down, select Limits For Availing Leaves.
  4. In the Maximum leave that can be availed per drop down, select Request option and enter the maximum number of leave for the request.

 Employees can Apply for Leave That Falls After the Wait Period

Admin can now allow employees to apply for leave that falls after the statutory wait period. To grant this option to employees:

  1. Navigate to System Settings > Leave > Leave Rules.
  2. Click the Edit Policy Info icon '' for any leave type.
  3. In the Grant Settings drop down, select Eligibility Criteria.
  4. Select a value for Leave can be taken only after a wait period starting from.
  5. In the Wait period before employees can drop down, select Apply if the employee must be granted the privilege to apply for the leave.

 Enhanced Precision in Auto Leave Year End Processing with Date and Time Options

To enhance precision in processing leave year, the selection of date and time has been introduced. If the auto-year end processing is enabled, it is mandatory to select the day, month and time for auto leave year end processing.

To change the auto leave year end date:

  1. Go to System Settings > Leave > Leave Options.
  2. Scroll down to the section on Auto Year End Process and check the box Auto Year End Process.
  3. Select Auto Year End Process Date, month and time.

 Shift Roster is Updated for the Next Year To Enable Employees to Avail Leave in the Next Year

greytHR now updates the shift roster, for the next year depending on the setting key, Number of days before which next year leave can be applied. If this value is 45 days, the shift roster is updated 45 days, before the next year. So, employees can apply for leave 45 days, before the next year. If this value is not updated, greytHR updates the shift roster, for the next year 30 days in advance.

To manually change the setting:

  1. Go to System Settings > Leave > Leave Options.
  2. Change the value of Number of days before which next year leave can be applied.
  3. Click Save.

The shift roster update is applicable only if Leave Days Calculator (leave option settings) is selected as Attendance Calculator.

 Lock Year Settings Introduced For Locking Leave Transactions

Now, you can lock a year for freezing the leave transactions. This is a very useful feature, which can be executed during the leave year end process, and is currently available, only to the super admin users of the greytHR application. Once a year is locked, no user can perform any leave transactions (granting, applying/availing, encashing, deducting etc.), for the year. 

  1. Go to System Settings > Leave > Leave Options.
  2. Click the Lock Year Settings tab.
  3. Click Lock to lock leave transactions, for a particular year, and click Unlock to unlock leave transactions for the year.
 Restrict Maternity Leave

This feature allows you to define the maximum number of children for availing maternity leave benefit. To define this number:

  1. Go to System Settings > Leave > Leave Rules.
  2. Scroll down to Maternity Leave (ML) and click the Edit Policy Info '' icon.
  3. In the Grant Settings drop down, select Limits for Availing Leaves.
  4. In the This leave can be availed for up to drop down, select the number of children.
