greytHR Visage Kiosk play store app is used for capturing touch-free attendance from the office premises. The kiosk is based on facial recognition technology. This means that an employee's attendance is captured based on his/her facial recognition. Once the attendance is captured, the swipes are transferred to the admin portal. From the admin portal, admin can then view the details of attendance swipes. Some of the benefits of using a kiosk for capturing attendance are as follows:

  1. Minimalistic touchpoints while entering and exiting the offices.
  2. No requirements to carry RFIDs for signing in and out.
  3. Replaces biometrics - fingerprint sign-in on the same device
  4. Curbs proxies.
  5. Curbs Tailgating.
  6. Reduces cost on biometrics investments and maintenance.

As an admin, to set up a kiosk, you must perform the following actions:

  1. Enabling kiosk in new features
  2. Assigning a kiosk admin
  3. Uploading employee's photos
  4. Viewing swipes in Employee Swipes page


Enabling kiosk in New Features

To enable kiosk in greytHR application, contact our support team. They will enable the kiosk for you.

Assigning a Kiosk Admin

To set up the kiosk, you must assign the task of setting up and maintaining the kiosk to an employee. To assign the kiosk role to an employee, perform the following actions:

  1. In the admin portal, navigate to Employee > Setup > Employee Roles.
  2. Click select an employee... search box to select an employee.
  3. Under Assigned Roles tab, click an empty table row and type Kiosk Admin.

  4. Click Save to assign the kiosk management to the employee.

Uploading employee's photos

For facial recognition attendance system, all the employees' photo must be in the system. As an admin, you must upload all the employee's photos in greytHR application and then migrate them to kiosk.  You can upload the photos individually or in bulk.

To upload employee's photo individually, perform the following actions:

  1. Navigate to Employee > Information > Employee Profile.
  2. Click select an employee... search box to select an employee.
  3. Click Upload Photo. The maximum file size allowed for a photo is 250 MB.

To upload employees' photos in bulk, perform the following actions:

  1. Navigate to Employee > Admin> Bulk Photo Upload
  2. Click Upload Zip File.

Configuring Visage for required Attendance Scheme

To configure Visage for attendance scheme, perform the following actions:

  1. navigate to System Settings > Attendance  > Attendance Scheme.
  2. On Edit Attendance Scheme page, under Swipe Capturing Method list select Kiosk.

Duties of kiosk admin

After a Kiosk Admin role is assigned to an employee, its the duty of the kiosk admin to download, set up, and maintain the kiosk. Setting up of kiosk is divided into three steps:

  1. Installing the greytHR Visage application
  2. Configuring the login
  3. Changing kiosk Settings
  4. Initiating kiosk

Installing the greytHR Visage

In your android mobile device, using play store Install the application greytHR Visage.

Configuring the login

To configure your kiosk admin login, perform the following actions:

  1. Open the greytHR Visage application and tap I know.
  2. Specify the exact domain URL in the text box. The domain URL will be in format domain.greythr.com. Example: hr.greythr.com. Tap Next.
  3. You are redirected to the Login screen. You can log in using your Employee No and Password. Tap Sign In.

Changing Kiosk Settings

To change the kiosk settings, perform the following actions:

  1. After signing in you are redirected to Kiosk dashboard. Under Settings, tap Change now
  2. On Kiosk Settings screen, specify all the details:

    1. Swipe In: When you select Swipe In, all the swipes registered through kiosk is considered as entry swipes. In Employee swipe page, swipes are marked as In.
    2. Swipe Out: When you select Swipe Out, all the swipes registered through kiosk is considered as exit swipes. In Employee swipe page, swipes are marked as Out.
    3. Both: When you select Both, all the swipes are identified as either Swipe In our Swipe Out. In Employee Swipe page, the first swipe is marked as In and the last swipe is marked as Out. The rest of the swipes are not differentiated.
    4. Enable Audio Message: You can enable this option if you want a voice-over of the message displayed on the screen.
    5. Door Name: Specify the door name of the office at which the kiosk is placed. All the swipes are tagged with the door name.
    6. Wait time between swipes:  This setting configures the time in seconds. The seconds you specify here is the time gap between two swipes. 
    7. Instruction Message:  Specify the instructions to be displayed to all the employees for capturing attendance.
  3. Tap Save
     

Initiating kiosk

Initiating kiosk means activation of kiosk for capturing attendance based on facial recognition system. To initiate kiosk, perform the following actions:

  1. Navigate to Kiosk dashboard.
  2. Tap Initiate Kiosk to start the touch-free attendance system. You can now capture the employee's face.


Viewing swipes in Employee Swipe page

After the greytHR application is configured by kiosk admin, admin can view the employee swipe in Employee Swipes page. To view employees' swipe details, perform the following actions:

  1. Navigate to Leave > Information > Employee Swipes.
  2. On Employee Swipe Details page, select Kiosk from the Type drop-down menu.
  3. Select the relevant dates from the Date calendar menu.
  4. Click Ok.
